This Privacy Practices notice explains how BROVi Scan handles user information in a travel-readiness preparation workflow. It is written for a platform that helps users organise document readiness, financial-readiness signals, interview practice, task planning, consultant requests, and readiness reports.
This notice is not a medical privacy notice, HIPAA notice, pharmacy notice, immigration-law representation agreement, or government form.
What Information We May Handle
BROVi Scan may handle information the user chooses to provide, including:
- account details such as name and email address;
- profile details such as country of origin, destination country, travel purpose, education, work, sponsor, family, business, or tourism context;
- checklist statuses, notes, uploaded document names, file metadata, and document-readiness signals;
- bank statement readiness inputs such as statement period dates, currency, balance fields if entered, sponsor status, and notes;
- interview practice answers, report summaries, task-planning information, reminders, consultant requests, and bug reports;
- technical information needed for security, debugging, service reliability, abuse prevention, and product improvement.
Sensitive Information Users Should Not Submit
Users must not upload or enter passwords, OTPs, CVV codes, full card numbers, online banking login details, private account recovery codes, or private access credentials.
Brovi Assistant should not process passports, bank statements, OTPs, CVV codes, card numbers, passwords, or bank-login details in general chat. Sensitive document review should stay inside secure scan modules and should use local or controlled rules wherever possible.
How Information Is Used
BROVi Scan may use information to provide travel-readiness preparation features, produce checklist summaries and readiness reports, identify missing or outdated documents, organise interview preparation, save user progress and task state, support consultant review requests, improve reliability and safety, and communicate with the user when support or reminders are requested.
AI-Assisted Processing
BROVi Scan may use AI-assisted features for general guidance, summaries, interview practice, checklist explanation, and readiness suggestions. AI outputs may be incomplete, outdated, or incorrect. Users must verify final requirements with official sources.
BROVi Scan should not send highly sensitive secrets into general AI chat. The platform should apply sensitive-data guards before routing private information to general AI providers.
Sharing With Service Providers
BROVi Scan may rely on service providers for hosting, authentication, database, storage, AI processing, email delivery, analytics, monitoring, payments if enabled later, and customer support. Service providers should be used only to operate or improve the platform.
Consultant requests may be shared with a reviewer or consultant only when the user requests such review or support.
User Controls
Where available, users may update account or profile information, delete uploaded files, request access, request correction, request deletion, request export or portability, change notification preferences, and contact BROVi Scan for support. Some requests may be subject to legal, security, abuse-prevention, and operational exceptions.
Retention
BROVi Scan should keep personal information only for as long as reasonably needed for account operation, readiness workflow, support, legal, security, and audit purposes. Some records may be retained for safety, fraud prevention, legal compliance, or dispute handling.
Security
BROVi Scan uses reasonable technical and organisational safeguards. No website, app, database, network, or AI system can be guaranteed to be completely secure.
International Use
BROVi Scan may be accessed from different countries. Data may be processed in countries where hosting, database, AI, email, support, or infrastructure providers operate. Where required, BROVi Scan should use reasonable safeguards for international processing.
